Terms and Conditions

These terms apply to every booking made with Cross Over Holidays LLP. Please read them before confirming a trip. Last updated 5 August 2026.

Who we are

Cross Over Holidays LLP is a registered limited liability partnership operating as a tour operator, with its registered office at 1st Floor, India Hotel Building, Opposite ICICI Bank, Jaigaon, Dist. Alipurduar, West Bengal 736182, India. References to "we", "us" or "the company" mean Cross Over Holidays LLP.

Bookings and confirmation

An itinerary shared with you is a proposal, not a confirmed booking. A trip is confirmed once you have approved the final itinerary and paid the agreed advance amount. Hotel and transport availability is not guaranteed until this point, particularly in peak season, and prices may need to be revised if availability changes before you confirm.

Pricing

Prices shown on this website are per person on twin sharing unless stated otherwise, and are indicative starting prices for the itinerary described. Your final quote depends on your specific travel dates, group size, hotel category and any customisation requested. A written, itemised quote is always shared before you are asked to pay anything.

Prices do not include items listed under "not included" on the relevant package page — typically flights, lunches, personal expenses, optional activities and travel insurance unless explicitly stated as included.

Payment

Bookings are confirmed against an advance payment, with the balance due before or during the trip as agreed at confirmation. Payment terms are communicated in writing (email or WhatsApp) as part of your booking confirmation, and vary by destination depending on hotel and permit payment schedules we ourselves are bound by.

Cancellation and refunds

Cancellation terms depend on how close to departure you cancel, because our own commitments to hotels, vehicles and permit authorities are time-bound and often non-refundable close to the travel date. As a general position:

  • Cancellations made well in advance of departure are refunded in full, less any payments we have already made on your behalf that cannot themselves be recovered (such as a paid Bhutan permit fee or a non-refundable hotel deposit).
  • Cancellations made close to departure may forfeit some or all of the advance, reflecting bookings we can no longer cancel or resell at short notice.
  • The exact cancellation schedule for your specific trip is confirmed in writing at the time of booking, since it depends on the hotels, permits and season involved.

Refunds, where due, are processed to the original payment method within a reasonable period, typically within 15 working days of the cancellation being confirmed in writing.

Permits and travel documents

Where our service includes arranging permits — such as Bhutan entry permits, Sikkim protected area permits, or Arunachal Pradesh Inner Line Permits — we do so based on the identity documents and information you provide. It is your responsibility to ensure your passport, Voter ID or other required document is valid, matches the details given to us, and meets the specific requirements of the destination (for example, minimum passport validity where applicable). We are not responsible for permit refusal caused by inaccurate or incomplete documents supplied to us.

Permit rules are set by the relevant government authority and can change without notice. We apply the rules in force at the time of your travel and will inform you promptly of any change that affects your itinerary.

Changes to the itinerary

Itineraries may need to change after confirmation due to circumstances outside our control — road closures, weather, permit restrictions, or government notices affecting a destination. Where this happens, we will offer the closest practical alternative and communicate the change as early as possible. We do not guarantee a specific hotel, vehicle or guide by name unless this has been explicitly confirmed in writing.

Force majeure

We are not liable for delay, cancellation or change to a trip caused by events beyond our reasonable control, including but not limited to landslides, road closures, extreme weather, natural disasters, government restrictions, strikes, or civil unrest. Where such an event affects your trip, we will work with you in good faith on rescheduling or the recovery of any amounts we are able to recover from our own suppliers, but cannot guarantee a full refund where our own payments to hotels, permit authorities or transport providers are themselves non-recoverable.

Traveller responsibility

You are responsible for arriving with valid travel documents, meeting any health requirements for your destination, and disclosing any medical condition relevant to high-altitude travel before booking a Ladakh, Sikkim or Bhutan itinerary that involves altitude gain. We strongly recommend travel insurance covering trip cancellation and, for high-altitude itineraries, medical evacuation.

Cross Over Holidays LLP is not liable for personal injury, illness, loss or damage to belongings during the trip, except where this results directly from our negligence or that of a service provider we have engaged on your behalf.

Conduct at religious and protected sites

Several destinations on our itineraries include working monasteries, temples and protected natural areas with specific rules on dress, photography and behaviour. We brief guests on these before each visit, and reserve the right to adjust an itinerary on the day if a site's access rules change or if conduct puts a booking or permit at risk for the group.

Governing law

These terms are governed by the laws of India. Any dispute arising from a booking with Cross Over Holidays LLP is subject to the jurisdiction of the courts at Alipurduar, West Bengal.

Changes to these terms

We may update these terms from time to time. The version in force at the time you confirm a booking, with your advance payment, is the version that applies to that trip.
